4. If you cancel

You cancel in writing by email to [email protected]. The date we receive it is the date used. After the 72 hours, the $1,000 deposit is not refundable, except in two cases: (a) your health form shows a situation that would put you at risk at the retreat and we decide together that you should not come; (b) another woman registers for your place after your cancellation and pays her own deposit, in which case your deposit is refunded to you.

These amounts are a reasonable estimate of our commitments to suppliers (lodging, meals, transport, activities) and of the loss of your place. Once the retreat has begun, unused days are not refunded.

Transferring your place. You may transfer your place to another woman. You find her and arrange the payment between you, tell us who she is and put us in contact. She must meet the retreat conditions and be approved by our team. Non-recoverable name-change or ticket costs are borne by you or by her.

Refunds are processed within 7 to 14 business days of a valid notice, to the card used, in the US dollar amount charged. Your bank may need more time to show it. Card and bank fees are not refunded.

Nothing in these terms takes away the rights the Quebec Consumer Protection Act and the Civil Code of Québec give you. If a law grants you a more favorable right, that right applies.

5. Flights, insurance and travel documents

We never reimburse flights or other travel costs, whatever the reason for the change. Book a fully refundable ticket, and wait for our confirmation email before buying it. The name on your ticket must match your passport. Travel insurance with medical and cancellation coverage is required and entirely at your expense. You check the U.S. entry requirements and your passport validity for your nationality yourself, before booking.

6. Transport and rooms

The group shuttle leaves Kona airport on February 22 at 1:00 p.m., and the group leaves the retreat on February 28 at 9:00 a.m. If you do not arrive in time for the shuttle, or if you leave early, your transportation is at your expense and no part of the price is refunded.

Room prices stay as listed. You may ask to change rooms, subject to availability. If your roommate cancels, you never pay extra.

7. If Oracle Woman cancels or changes the retreat

If we cancel the retreat, you choose between transferring everything you paid to another Oracle Woman retreat within the following calendar year, or a full refund, deposit included. If the retreat cannot take place for a reason beyond our control (natural disaster, volcanic activity, government restriction, closure of the venue, border or air travel disruption), you choose between a transfer to another retreat within 12 months, or a refund minus the costs already committed to suppliers that cannot be recovered. We are not responsible for incidental expenses you arranged yourself, such as non-refundable flights or separate accommodation, which is why insurance is required.

The schedule, outings and team members may change because of weather or local conditions. We tell you promptly and aim to offer an equivalent experience.

8. What this retreat is, and what it is not

The time we spend together is focused on energetic foundations: understanding your own energy, finding your inner resources, and learning how to nourish it and let it expand. Because of Mélina’s training, the practices may include Holosomatic Bodywork®, breathwork and energetic work such as Vital Energy Activation (Qi), which includes Qi cleansing. The week also includes group process and outings on the island. You may feel strong physical, energetic or emotional sensations, and you may live experiences related to these practices.

These practices are not medicine, psychotherapy, diagnosis or treatment. Mélina and her team do not replace a physician or any licensed health professional. We do not diagnose. Do not stop, start or change any medication or professional care because of anything that happens here. No result is promised or guaranteed. Each person’s experience is different, and testimonials describe individual experiences only. In an emergency, we call medical services.

9. Health, risk and participation

You complete the health form accurately and fully, and you tell us promptly of any change before or during the retreat. Please tell us in particular about any heart condition, epilepsy or seizure disorder, aneurysm, high blood pressure, glaucoma or retinal detachment, osteoporosis, spinal injury or surgery in the last twelve months, pregnancy, respiratory condition, diabetes, cancer, implanted device, psychiatric diagnosis or hospitalization, and any serious allergy. Disclosing something does not automatically exclude you: we look at it together, and sometimes ask for your doctor’s approval. Where a condition makes the retreat unsuitable, we tell you and you are refunded in full, deposit included. Withholding health information may lead to your participation being refused or ended, with no refund.

Every practice and outing is an invitation. You can decline or stop at any moment without explaining yourself. Declining does not give rise to a refund. Touch is only with your consent, which you can withdraw at any second. You stay clothed throughout, and touch is never sexual.

You understand that travel and this retreat carry inherent risks: illness, injury, allergic reaction, slips and falls on uneven or wet ground (including lava terrain and trails), sun, heat, ocean conditions, travel by road and by air, effects of intensive breathwork, soreness after bodywork, and emotional reactions that can arise in deep somatic work. You take part voluntarily. Ocean swimming is optional and depends on local conditions and your own ability. You authorize us to seek emergency medical help for you if you cannot, and you bear the cost of that care. Medication and personal medical equipment are your responsibility.

We run the retreat with reasonable care and choose suppliers in good faith. To the extent the law allows, we are not liable for the acts of independent third parties, the loss of personal belongings or indirect losses. Nothing in these terms excludes our liability for gross or intentional fault, or for bodily injury caused by our fault (article 1474 of the Civil Code of Québec).

10. Group safety and confidentiality

You treat the other participants, the team and the venue’s staff with respect, and you follow reasonable safety instructions. Illegal drugs and plant medicines are not part of this retreat. We strongly advise against alcohol during the week. Phones are not allowed during the practices.

If a participant’s behavior endangers or harms others (harassment, discrimination, touching without consent, violence, intimidation, repeatedly ignoring safety instructions, sharing what others confided), we speak with her first whenever possible. If it continues or is serious, we may ask her to leave, without refund and at her own transportation cost.

What is shared in a circle or a session stays there. You do not repeat or publish what another participant shares. We make the same commitment to you.

11. Photos and recordings

We take photos or videos only with your permission, and we ask a separate permission before any publication. You may refuse photography altogether, or accept it for your own memories while refusing any public use, with no effect on your participation. You can withdraw a consent at any time by writing to us.

Holosomatic Bodywork® sessions are recorded, as a requirement of Mélina’s professional insurance and to protect you, her and her team. These recordings are confidential safety records, never published, used for promotion or shared with the group. They are kept in secure storage for seven years, then deleted, and accessed only for a specific concern, complaint, insurance requirement or legal obligation. If you do not agree to your bodywork sessions being recorded, you cannot take part, and everything you paid is refunded in full, deposit included. No other session is recorded.

12. A concern about a payment

If you question a charge, please write to us first at [email protected]. We want to solve it with you before any dispute with your bank.

13. Our material and communications

The material we give you is for your personal use, remains our intellectual property, and may not be copied, resold or distributed. We contact you by email, and by phone when needed for payments and rooms. Keeping your details current and checking your inbox, including spam, is your responsibility. Confirmed participants are invited to a private WhatsApp group.

14. Privacy policy

This policy follows Quebec’s Act respecting the protection of personal information in the private sector (Law 25). The person responsible is Mélina Deschênes, [email protected].

What we collect: your name as on your passport, contact details, date of birth, travel details, the health information you give us, your room and dietary preferences, and the recordings described in section 11. Card payments are processed by our payment provider, and we never see or store your full card number.

Why: to perform this contract, to arrange your stay and travel, to keep you safe, and to meet our legal, accounting and tax obligations. We do not sell your information, share it for advertising or use it for automated decisions or profiling.

Health information is sensitive. It is collected with your express consent and used only to assess your participation and keep you safe. It is seen only by Mélina and the team with her, and shared only with a care provider in an emergency or with the kitchen when a food allergy makes it necessary.

Who receives it: only what is strictly necessary goes to the retreat venue, transport providers, our payment, email and course platforms, and our accountant. Some are outside Quebec, notably in the United States, so your information is transferred outside the province.

How long we keep it: contact and booking records for seven years; health forms destroyed within twelve months after the retreat unless you ask us to keep them; bodywork recordings seven years, then deleted.

Your rights: you can ask to see, correct or delete your information, withdraw a consent, or receive your information in a structured format. Write to us, and we answer within 30 days. You may also contact the Commission d’accès à l’information du Québec. We keep a register of privacy incidents and notify you and the Commission if one presents a risk of serious harm.

15. Language, law and changes

The retreat, the material and the support are offered in English, and these terms are provided in English. By accepting them, you confirm that you expressly chose English. Private sessions with Mélina can be held in French if you prefer. A French version of these terms is available for your convenience. If the two differ, the English version applies. These terms are governed by the laws of Québec. They do not deprive you of the right to go to the court of your home jurisdiction where the law allows it. If a provision is held invalid, the rest remains in force.

We may update these terms. The version that applies to you is the one published on the date you paid your deposit, and we keep a copy. Important changes affecting a confirmed booking are sent to you by email.

16. Your acceptance

At checkout, you check a box that says: “I have read and I accept the terms and conditions, the participation agreement and the privacy policy.” Checking it and paying has the same legal effect as signing by hand. We keep a record of the date and time, the payment, and the exact version of this page in force that day. We email you a copy of this agreement and your receipt within fifteen days of your payment.

By checking the box and paying, you confirm that you are at least 21 years old, that you have read and accepted this page and in particular the cancellation and refund rules (section 4), the flights and insurance rules (section 5), the health and risk sections (sections 8 and 9) and the recording of bodywork sessions (section 11), that the information you give us is accurate, and that no outcome is guaranteed.
